S M Sehgal Foundation invites applications for the position of Field Specialist- Billing & Procurements..
Location: Amrabad, Nagarkurnool district, Telangana
Position Requirements:
● 1–2 years of experience in office administration, documentation, billing, or procurement processes is preferred; however, candidates with relevant knowledge and skills may also apply.
● Fluency in Telugu (mandatory)
● Working knowledge of Hindi and/or English
● Bachelor’s degree in B. Com, Management, or related field (preferred)
● Basic understanding of billing procedures and procurement documentation
● Experience in vendor coordination and purchase processes will be an advantage
● Good negotiation and communication skills
● Proficiency in MS Office (Excel, Word) and basic record management
Job Description:
The person is primarily responsible for the coordination of accounting and administrative activities/matters in the field locations Key responsibilities include the following:
- Handle cash transactions for the settlement of field staff and project expenses
- Prepare of cash expense statements and submit the same to the respective branch
- Identification of the competent vendors and contractors
- Material procurement
- Follow up and monitor the process of the procurement procedure.
- To ensure whether the policies, procedures and systems are adhered while execution of the project or administrative activities
- Monitoring the utilization of material at the site and ensuring the stock records.
- Collection of bills from suppliers & staff.
- Maintain all project related documents, beneficiary details and farmer’s agreements records, photo etc. required in the projects
- Maintain and update all project progress information and project MIS etc.
- Coordinate with Program leader and coordinates for project progress, prepare project progress report, financial statement and MIS data
- Maintain all physical and e-copy of the document required in the project for audit and accounting purposes
- Any other works assigned
- Arrangements for local travel.
- Arrangements for the project as well as administrative events.
- Record keeping and timely payment of office administrative expenses i.e. electricity, internet, rent, etc.
- Office automation at branch offices.
- Coordination between HO and field staff for administrative issues.
- Maintain leave records for field staff.
